Procurement Forum

Mark your calendars! On September 19, from 9-10:30 a.m., Procurement Services is hosting a forum to answer any and all questions you have about procurement. Topics will include, amongst other things:

IT “Buy Your Own” Page

Non-Apple-branded mice and keyboards have moved to the Buy Your Own page. These items are pre-approved and require no technology request form submission or IT approval prior to purchasing.

Standard Desktop and Laptop Savings

Commencing in FY17, the University has changed its standard configurations for both desktop and laptop machines. Through a combined effort of deeper discount negotiation based on volume spend from Procurement Services, and specification changes from the IT department including changing the operating system and increasing the memory from 8GB to 16GB, the University received standard machine configurations that give the University both great potential cost savings and more options for machines based on the users’ needs. This equates to an annual cost of avoidance of approximately $130,000.

The following demonstrates the reduction of average rates for past versus future purchases:

  • Dell Desktop Standard: $1075.68 vs. $758.59
  • Dell Laptop Standard: $1392.04 vs. $899.27
  • Savings: 29.5% for desktops, 35.4% for laptops

Fixed Asset Inventory

As a reminder, Mary Francis Gallagher has taken over the position of Fixed Asset Coordinator. Campus Faculty and Staff should expect her visits throughout the year, and assist in any way possible to complete her inventory of their area.

Contract Highlight: PEPSICO

UMW procurement services office monitors more than 300 contracts through our campus contract management system, Cobblestone.  University contracts promote increased efficiency of operations and serve to streamline processes, reduce costs, and add value to the campus community.

Featured today: The exclusive beverage contract with PEPSICO provides products for all dining locations, UMW Bookstore, and 57 campus vending machines, funding for various campus initiatives (including departmental scholarships for on time course material adoption), and participation in various campus events. The contract is administered by Business Services. Thank you PEPSICO for your partnership!

Within the coming month, Procurement Services will be revising UMW small purchase procedures to enhance clarity and provide greater benefit for campus departments. The new procedures will reside on the Procurement website; they will replace existing procedures.
