Copy Center
Greener Than Yesterday…
Have you noticed anything different with your Copy Center jobs?
To reduce the volume of single use plastics, the Copy Center has made some changes in the packaging of copy jobs sent through inter-campus mail. Most jobs will arrive in reusable boxes or bags. Please help us on our mission to reduce plastic pollution by placing the reusable containers in the outgoing mail for return to the Copy Center, where it will be used to deliver future copy jobs.
Multi-Functional Devices: Greener Machines
Multi-functional devices (MFDs) are centrally located print, copy and scanning devices. The MFDs are a valuable resource, especially in light of current supply chain and chip production issues that are affecting the availability of desktop printers. Their use also reduces plastic consumption and waste associated with desktop printers. If you need help finding and MFD near you, or would like assistance in using them, please contact the Copy Center at x1935. Instructions for use can also be found here.
Saving files as e-documents rather than printing is another great way to be kind to both the planet and departmental budgets!

New Customer Service Form
The EagleOne Card Center is now open during regular business hours, Monday through Friday from 8 a.m. – 5 p.m., as well as Sunday, August 22, from 11 a.m. -3 p.m. for returning student move in. Appointments are no longer necessary. However, we can still assist you remotely if that is your preference! Parking Management
Faculty/Staff Decals
2021 Faculty and Staff decals have been distributed to campus offices. If you have not received your decal, please visit the Parking Management portal (or login through Banner) to check your vehicle registration and request a parking decal. Once your vehicle is registered in the portal, your decal will be delivered through campus mail.
Parking decals must be on vehicles by August 30, 2021.

Postage Increase
The USPS has announced a price increase effective Aug 29, 2021. The cost of a first class stamp will be increasing from $.55 to $.58. Please go to https://faq.usps.com/s/article/2021-Postage-Price-Changes for a full list of changes.

The University of Mary Washington Safety Committee brings together many community voices to elicit their insights and to foster transparency regarding campus safety. More about the committee, including its mission and responsibilities, can be found here.
The UMW Safety Committee is seeking faculty and staff from all three campuses as members to help develop and promote a healthy work environment.
The committee’s responsibilities include:
- Assisting in safety inspections of buildings, grounds, and work sites on a periodic basis.
- Reviewing regularly all safety-related incidents, injuries, accidents, and illnesses on campus. This includes investigation, recommendation of corrective action, follow-up, and compliance.
Members are expected to serve a one-year term, devoting about five hours a month to the committee, including a meeting of approximately one hour via Zoom.

Update on campus COVID conditions and vaccinations
Hello all,
We know that many of you have been following developments lately with news of variants and vaccinations as we look to the arrival of students back on campus shortly. Throughout the summer, Dave has been leading the Public Health Advisory Working Group in conversations about vaccinations, testing, masking, tracing, and preparing for the fall. Jeff has been working with the other Public Higher Education COVID Directors and statewide officials at the VDH, Departments of Education, Labor, and Commerce and Trade to clarify expectations, options, and directions for the fall. This message is part of an effort to update faculty and staff as we get closer to the start of the semester.
First, we want to acknowledge the fluidity of the current situation and note that we are working with state and local officials to make sure we have the most up-to-date information. That fluidity will mean that some of our fall plans will continue to be in flux, even once the semester starts. We will endeavor to provide regular updates along the way.
Second, we wanted to share the progress we’ve made so far with our vaccination rates for students and employees.
- We have heard from nearly 91% of our students so far, and we know now that nearly 85% of all students are confirmed vaccinated or in the process of being vaccinated. We are working to learn the status of the remaining 9% and we will be asking some of you to help with that process.
- We have heard from over 94% of our employees so far, and we know now that 87% of all our employees are confirmed vaccinated or will be fully vaccinated soon. If you are part of the less than 6% who have not submitted the survey letting us know your vaccine status, please fill out the Employee Vaccination Survey. If you are still looking to get vaccinated, check out Vaccines.gov, your health care provider, or take advantage of Giant’s visit on August 18 where they will be offering free Pfizer or Johnson & Johnson’s COVID Vaccines to students and employees.
Third, a reminder that given local COVID conditions and the CDC’s recommendations, we are strongly recommending that vaccinated people wear masks indoors when social distancing isn’t possible. This is in addition to our ongoing requirement that unvaccinated people mask indoors. We are keeping a close eye on those conditions, and we are in conversations with the state and with other schools about potential modifications to those recommendations.
We hope to provide a full plan next week as we keep working on finalizing the vaccination status of our employees and students, continuing our partnership with the local health department and Mary Washington Healthcare, and watching closely the national and local situation.
There will be more of these updates as we move closer to the fall semester.

UMW Statement on the Possession, Use, and Cultivation of Marijuana
On April 21, 2021, Virginia Governor Ralph Northam signed into law House Bill 2312 and Senate Bill 1406 legalizing the possession, use, and cultivation of marijuana in Virginia beginning July 1, 2021. However, the federal Drug-Free Schools and Communities Act prohibits the possession, use, and cultivation of marijuana at institutions of higher education that receive federal funds (including the University of Mary Washington) and requires them to have policies prohibiting marijuana on university property and at university-sponsored off-campus events.
Therefore, in accordance with federal and state laws and regulations, the University of Mary Washington continues its existing prohibition of the possession, use, and cultivation of marijuana on University property or at University-sponsored events.

Important COVID Information
Dear Colleagues,
Here are a few COVID-related reminders and updates as we head into the first week of August:
- Thank you to everyone who has responded to the Employee Vaccination Survey. As previously announced, all faculty and staff who are not fully vaccinated, or who have not responded to the survey with proof of vaccination, will be required to participate in weekly prevalence testing beginning the week of August 23. Testing details will be provided the week of August 9 to those faculty and staff who are required to complete weekly testing. If you have not completed the survey and need to do so, please click here. Please reach out to Human Resources or COVIDvaccination@umw.edu with any questions.
- In keeping with CDC guidance, all unvaccinated employees, students and visitors are still required to wear masks inside any university building and are encouraged to do so when outside in group settings.
- The latest guidance from CDC also raises concern about the high transmissibility rate of the Delta variant and recommends that anyone in substantial or high transmission rate regions wear masks while in public indoor spaces. Fredericksburg, Stafford County, and Spotsylvania County all fall under the “high transmissibility” category. As such, UMW is strongly recommending for now that all employees, students, and visitors regardless of vaccination status, wear masks when indoors where social distancing is not possible. We will continue to monitor this guidance and local conditions and will announce modifications as appropriate.
- Masks must be worn by all individuals, regardless of vaccination status in the Student Health Center, Talley Center for Counseling Services, the Athletic Training Room, and in any university operated/sponsored shuttle, bus, or van where there are multiple occupants.
A detailed COVID-19 Preparedness Plan will be available next week.

USC 2020-2021 Year End Report
The University Staff Council (USC) would like to share its 2020-2021 Year End Report with the campus community to highlight our major activities, changes, challenges, and accomplishments during the 2020-2021 academic year.
UMW Earns 2020 Driver Safety Award
The University of Mary Washington was the recipient of the FY 2020 Driver Safety Award, given by the Virginia Department of General Services. UMW had the lowest crash rate per 100,000 miles for organizations traveling less than 100,000 miles a year. Chief Michael Hall received the letter and certificate on behalf of the University.

Updated Message from the President’s Cabinet
Good morning,
We understand that there was some confusion generated by the July 6 message regarding returning to work on campus. The information below is intended to help clarify the message and expectations.
- Our goal for fall is for our students to return to an active and vibrant campus, and to that end, the primary work location for most employees is expected to shift back to campus by August 2. During COVID most employees’ primary work location was at home with an occasional presence on campus. Beginning August 2, this will shift for many employees, particularly those who are in student or public-facing positions. This does not, however, preclude the option of telework within our workforce.
- Supervisors and employees are encouraged to discuss individual situations and determine if some level of telework is still appropriate given the role of the department and the employee’s position.
- As our overarching goal is to revive our campus and return it to a thriving community, decisions regarding work flexibility should be made with this objective in mind.
- The telework agreement has been revised to make it more user-friendly while remaining within the parameters of the DHRM telework policy (last updated in 2019). The Telework Policy and Procedure page on the HR website contains the revised Telework Agreement form and additional guidance regarding telework and alternative scheduling options. You will also find links to helpful telework resources for supervisors and employees.
- If the employee and supervisor agree that telework is an option, they should complete the Telework Agreement form, which should be signed by the employee, supervisor and Cabinet VP, and then forwarded to the Human Resources Department.
- We will be offering training for supervisors which will focus on assessing workplace flexibility options and managing a hybrid work environment.
- The Future of Work group will continue its work to explore options and advise Cabinet on evolving workplace matters.
