Banner downtime
The following message is from the Finance Office:
Fiscal year end is approaching; that means year end processing, which means system(s) downtime. Please mark your calendars: Banner will be down from 2 p.m. Friday, June 29th until noon Sunday, July 1. This downtime will impact the Banner production environment, including SSB functionality and any system exchanging data with Banner.
For additional information, refer to the End of Year System Down Time site.
Finance will make every effort to have the systems restored as quickly as possible. We appreciate everyone’s cooperation and patience.

Overtime Leave annual election
The annual election of overtime leave for non-exempt employees will open on Wednesday, June 13th and will close on June 27th. The earning of overtime leave will start with the pay period beginning July 10th for those who elect to receive overtime leave in place of overtime pay.
The guide to the Overtime Leave Election Process is posted on the Payroll Website. MyTime training is available daily if you need assistance. Please contact tess@umw.edu to schedule training.
If you are currently receiving Overtime Leave, you will continue to do so unless the Compensation Method is updated by your supervisor during the election period noted above.
Supervisors, please ensure your non-exempt employees have this information.
All MyTime concerns should be directed to the UMW Helpdesk at 2255.

Orientation Parking Restrictions, June 13 to 27
The following message is from the Office of Parking Management:
Greetings Campus Community,
UMW will welcome all incoming first-year and transfer students, and their families, to campus for Summer Orientation June 13 through 27, 2018.
Orientation is a mandatory experience committed to making students and their families feel welcomed, involved and connected to the University. Your support in this mission is greatly appreciated.
During Orientation, the following parking lot reservations will apply:
Orientation student and guest parking only:
June 13, 18, 19, 21, 25 and 26, 2018.

Jepson Construction Announcement
The following message is from the Office of Facilities Services:
Asphalt paving work at the Jepson Science Center begins Monday, June 11, and will continue through the week.
The work area is the unpaved portion of the south access road between College Avenue and the Simpson Library parking lot. The road will remain open during the work: Please be aware of flaggers for directions through the area. This schedule is weather dependent.

Hybrid Retirement Plan:
The June 15 deadline for Hybrid Voluntary Contribution Changes is around the corner.
Why You Should Be Saving
Employer Match – Consider boosting your voluntary contribution amount to 4 percent. If you save 4 percent, you’ll receive 2.5 percent in employer matching contributions!
Tax Savings – Taxes are deferred on both contributions and earnings, allowing you to pay less in taxes now.
Members can make changes to their voluntary contributions each quarter. The cut-off date for changes to an account is 4 p.m. ET on the 15th of the month prior to the next quarter. (For example, members must request the change by 4 p.m. ET on June 15 in order to be effective in the first payroll of July.) If the 15th is not a business day, the deadline will be 4 p.m. ET on the next business day after the 15th.

Farewell to Allyson Moerman
The following message is from the Office of Administration and Finance:
After nearly 20 years at the University of Mary Washington, Allyson Moerman is retiring. Allyson joined UMW’s accounting department in 1998, when the team was small, work was still being done on “green bar” paper and the university was progressing into the Information Age.
Allyson guided UMW’s finance department through a number of changes and process automations. She led the BANNER implementation team, creating the chart of accounts and automating financial reporting. She implemented the Bank of America WORKS program for cardholders, direct deposit for employees and students, MyTime timekeeping system and BOSSCARS parking system. Allyson helped implement new software in the Student Health Center and in Campus Recreation. She led UMW through eVA, Cardinal Finance, direct lending and ARMICS implementations. She rolled out online tuition payments and the tuition payment plan process for students, as well as an eCommerce system for the Mary Washington campus.
Allyson represented UMW as president of Fiscal Officers of Colleges and Universities State Supported (FOCUS) and hosted FOCUS events on campus for fiscal officers across Virginia. A member of numerous professional organizations and graduate of both the Advanced Commonwealth Management Institute and the Leadership Fredericksburg program, she also served as a mentor for Leadership UMW. Throughout her tenure, she has provided excellent leadership, generous encouragement, and many educational and growth opportunities for her staff.
This is only a small representation of Allyson’s many contributions to Mary Washington. She has left a positive, lasting impression on the University and many of its staff, faculty and students. She will be greatly missed.
You are invited to celebrate her impact on UMW, as well as her retirement, on Wednesday, June 20, from 2 to 4 p.m. in Eagle Village (fourth floor).
Julie Smith, assistant VP for finance/controller, has agreed to serve as interim VP for Finance, effective June 25, 2018.
