To the University Community,

As you may be aware, we are beginning a national search for a new Vice President for Advancement.  We are seeking a highly qualified individual for this critical area of operations for the University and will work diligently to ensure that we get the right person to lead this unit.

I have asked Jeffrey McClurken, Chief of Staff, to chair the search committee. The other members of the search committee are:

UMW MyTime outage and restoration update

The following message is from Payroll.

Thank you again for your patience as we work with UKG to restore access to MyTime and our time and leave data.

On Saturday, January 8, we were notified by our MyTime vendor UKG that UMW’s database had successfully moved through the first three milestones of their recovery process. At this time, UMW Payroll has access to MyTime and is working to ensure the integrity of the data. Timeclock data for the areas using timeclocks is also being restored and reviewed.

Next, Payroll staff will manually enter time and leave data from the Excel documents that you emailed to us during the outage. During this step, in addition to keying time/leave, Payroll will be reconciling existing punches and leave requests that were already in the system prior to the outage. Payroll might reach out to you and/or your supervisor to confirm information. If you’re contacted by Payroll please respond as quickly as possible and know that we want to work with you to ensure we have accurate information.

After data is entered, confirmed and reconciled we will open MyTime back up to all employees. Until then, please continue to track your time and leave using the forms on the Payroll website at the link below.

Andrea Meckley named January’s Excellent Eagle Employee!

Congratulations to Andrea Meckley! Andrea is USC’s Excellent Eagle Employee for the month of January. Below is what James Pape, UMW Libraries’ access services and outreach librarian, had to say about Andrea:

“Andrea was instrumental in providing online resources to Faculty and Students during the Spring and Summer semesters of 2020. She was the direct contact for any issues dealing with accessibility of library resources in Canvas, and due to her dedication and continual physical presence on the UMW campus, users were able to access the resources they desperately needed through emailed scans, Canvas course pages, or physical copies of materials. To accomplish this is enough to warrant being given the Excellent Eagle; however, she has also transitioned to a new position within the library during July 2020 due to retirements, and has been able to skillfully navigate how to lend and borrow needed materials to and from other institutions from around the world during the pandemic. It takes a special person and co-worker to being able to not only take on new and more difficult role during a pandemic, but to do it with the professionalism and eagerness to improve is something special!”

MyTime Outage – UKG Incident Update and Contingency Plan

The following message is from Payroll and Finance.

As indicated in previous emails, UKG, the company that provides UMW’s time and attendance system (MyTime), has reported a cybersecurity incident involving ransomware. This attack is preventing UKG’s customers from accessing their services and time and attendance data. The issue is impacting customers worldwide, as you can see from the articles in the following links:  The Register, NY Post, and ZDNET

Like other affected entities, UMW has had to revert to a manual system. UMW Payroll has sent emails to all employees in each employee group (classified, administrative professional, wage and student employees) with instructions and forms appropriate to their employee group/type. If you did not receive such an email and you fall into one of these groups or supervise someone in one of these groups, please email payroll@umw.edu. Teaching faculty are not impacted, unless they supervise someone in one of the employee groups listed.

The bullets below summarize the deadlines in the emails sent earlier. In order to ensure timely and accurate pay, it’s important that these forms get to Payroll by the deadlines.

  • Administrative Professional leave forms for the pay period 11/25 – 12/9 must be received by 9 a.m. tomorrow, 12/14.  Email forms to Leslie Petrey.
  • Classified Employee timesheet and leave forms for the pay period 11/25 – 12/9 must be received by 2 p.m. tomorrow, 12/14. (Deadline updated from the email earlier today). Email forms to Kayla Hill.
  • Wage and student employee timesheets for the 12/6 – 12/19 pay period should be submitted as soon as the employee is done working for the pay period and no later than 9 a.m. Monday 12/20. Wage forms should be emailed to Tania Ellis. Student Employee forms should go to Leslie Petrey.
  • Administrative Professional and Classified timesheet and leave forms for the 12/10 – 12/24 pay period must be received no later than noon Monday, 1/3/22.  Email Administrative Professional forms to Leslie Petrey and Classified forms to Kayla Hill.

Please be aware that the UKG/MyTime system does not store or process sensitive data (i.e. Social Security numbers, banking information) for UMW.

Due to the uncertainty of the situation, please continue manually tracking your leave and hours worked using the forms provided until you’re notified otherwise by Payroll.

UMW 2022 Holiday Schedule

Update to Vaccine Deadline

Dear Colleagues,

On Nov. 10, President Biden revised the deadline by which covered employees of organizations that hold certain federal contracts must receive their final COVID-19 vaccine dose. Under the Executive Order 14042 and related guidance, covered federal contractors like the University of Mary Washington previously had until Dec. 8 to have their workforce fully vaccinated. The new compliance deadline is now Jan. 18, 2022.

This email is to inform you that UMW accordingly will move its deadline for employees to receive their final vaccination dose to Jan. 18, 2022.

Several details about this Jan. 18 deadline are important:

  • Based on the scope of the executive order, the University determined that it would require all University employees to be vaccinated against COVID-19 unless they have an approved religious or medical exemption.
  • If you have not applied for an exemption and are not yet vaccinated, we encourage you to make your appointment for a vaccine as soon as possible in order to ensure that you meet the new deadline. Here are the timelines for getting vaccinated that must be met to ensure compliance with the Jan. 18 deadline, specific to each type of vaccine:
    • Moderna vaccine: Get the first shot by Dec. 21, 2021 and second by Jan. 18, 2022.
    • Pfizer vaccine: Get the first shot by Dec. 28, 2021 and second by Jan. 18, 2022.
    • Johnson & Johnson’s one-dose vaccine: Get the shot by Jan. 18, 2022.
  • More than 95% of UMW employees are already vaccinated, and this revised deadline does not affect them.

To request an exemption, complete the COVID-19 Vaccination Medical Exemption Request form or the COVID-19 Vaccination Religious Exemption Request form and upload to the Faculty/Staff Vaccine Survey. Exemption requests must be received no later than 5:00 p.m., Friday, December 10 in order to provide time for review, approval, or requests for additional information if needed.

The federal vaccination requirement includes all full-time and part-time employees, including employees working remotely. After Jan. 18, anyone who is not in compliance, either by being vaccinated or receiving a University-approved exemption, will be subject to disciplinary action consistent with the University’s policies, up to and including unpaid leave or termination.

We will continue to monitor conditions and provide regular updates. We thank those who have been vaccinated, and continue to encourage you to wear masks when appropriate and stay home if you are not feeling well in order to help limit the spread of the virus.

REMINDER: Holidays and MyTime Approval Deadlines

MyTime Supervisors and Employees,

Winter break is rapidly approaching (12/20/21-12/31/21). In order for employees to be paid as scheduled, it is imperative for supervisors to ensure timecards are error free, complete and approved by the deadlines below.

Bi-weekly Timecard Approval Deadlines for wage and students

Winter break, pay period 12/6/21-12/19/21, approval due no later than 9am on 12/20/21!

If the employee has completed working for the pay period and will not work during the holidays, we strongly encourage employees and supervisors to approve the timecards for the pay period(s) prior to leaving for break. Reminder: when approving in advance, select “Current Pay Period.”

 

Semi-monthly MyTime Approval Deadlines for classified and A/P faculty

Pay period 12/10/21-12/24/21, approval due no later than noon on Monday, 1/3/22!


Supervisors

  • It is critical that you review timecard exceptions and resolve missing punches prior to the holiday closures. Reviewing timecards in advance, before the pay period ends, allows you time for resolving issues. Red blocks indicate a punch has been missed.
  • Take care when editing punches as MyTime defaults to “a.m.” Please ensure the timecards reflect all time worked and have the employee’s approval.
  • Incomplete or unapproved timecards prevent the entire Payroll from being processed.

Manager Delegation

Supervisors that are unavailable to approve timecards or time-off requests may Delegate their approval to another MyTime supervisor. Supervisors receiving the delegation must accept the request in MyTime before they will have access. Please use the MyTime Supervisor Manual to view the instructions.

Time-off Requests

Many employees and supervisors will use leave prior to and/or after break. Please ensure leave requests are processed and approved prior to timecard approval deadlines.

Estimated Leave Loss for Classified Employees

The new leave year begins on 1/10/22. Maximum carry over limits are applied to annual leave balances. Classified employees can determine if they may lose leave by viewing their leave balances on their timecard or their supervisor may run an Accrual Detail report. You may determine your estimated leave loss by following these instructions. The MyTime Supervisor Manual explains how a supervisor may run the report.
