The MyTime team is now ready to present to the UMW community the implementation plan for MyTime, UMW’s new time and attendance system. I ask that you share this plan with your direct reports to disseminate the information with all staff, convey the importance of immediate action, and take action yourself, if appropriate.
Due to the notable impact MyTime will have on campus wide operations and system interfaces, it will be rolled out in two phases. The dual-phased approach will allow our technology experts to work with our community on necessary computer upgrades, allow our core project team members to assess and assure all data integration components, and provide ample training opportunities for our staff (including student aides/employees).
• Phase 1 – Wage staff and student aides/employees along with their approving supervisors will begin using MyTime on Jan. 12, 2015. Training will start Dec. 8, 2014.
• Phase 2 – Full-time classified staff and Administrative Faculty along with their approving supervisors will begin using MyTime on Feb. 10, 2015. Training will begin mid-January 2015.
The successful implementation of MyTime is dependent upon full cooperation of all UMW staff members. The cooperation of supervisors in completing the tasks outlined below is vital. Note: It is highly likely that supervisors will be involved in both phases.
Tasks:
Task 1 – Ensure Staff and Supervisors Register for Training
Phase 1 staff (wage, students, and appropriate supervisors) will require “Observe and Learn” training. Based on the needs of a department, supervisors may opt to have one or more of their staff serve as “Go To Assist” (GTA) individuals, to attend training on behalf of your department and serve as department MyTime assistant(s). All Phase 1 staff must register for class (link shown below), even if training by the GTA is allowed by the supervisor. The registration is confirmation that each staff member acknowledges the changes in payroll procedures and agrees to attend training or be provided training by the GTA.
Due to the timing of the semester exam schedule, student registration is not mandatory; support and additional communications are being targeted toward our student aides/employees.
Task 2 – Create online Employee Work Schedule Templates
Phase 2 employees (full time classified, Administrative Faculty and part-time classified with benefits) require a work schedule within MyTime. Supervisors of employees who have work schedules that differ from Monday to Friday, 8 a.m. to 5 p.m. with a one hour lunch, must complete an online Employee Work Schedule Template immediately. The templates will provide a base point for the MyTime project team to build work schedules within the MyTime system.
Task 3 – Java Updates are necessary for Accessing MyTime
IT Support Services is analyzing university computer systems to determine the best course of action for Java and Browser updates, which are necessary for MyTime and taking a leading role in the update process. The Help Desk has identified all primary computers assigned to staff in Phase I that require this Java update, and have already begun reaching out to the users. Some individuals will be contacted directly, while others may be directed to install and update programs via web direction. Also, contact with all Banner INB users is being made to guide them through the update process as changes to Java can impact access to Banner INB. Once the Java update for the Phase I staff and Banner INB users has been completed, the Help Desk will start to reach out to the Phase 2 staff.
If your department has computers that are used by student aides/employees or for other tasks, and you need those computers to have access to MyTime, supervisors will need to ensure those computers are updated as part of this process by contacting the Help Desk. Computers in labs and classrooms have already been updated to the proper version of Java. This enables staff, including students, to have access to MyTime in the rare situations in which a computer is not or cannot be updated due to conflicts with specialized software. If you have yet to be contacted, expect to hear from Help Desk representatives in the near future; please be timely in response to their emails.
Specific instructions for the migration to MyTime are detailed on the MyTime to Prepare website. Below are the direct links to complete the following:
Useful information can be found at the MyTime website. I appreciate your promptness with communications and staff direction. While we are currently on target to start training, we are still in the final testing stages; if for any reason training must be delayed we will notify all registrants.
If you have any concerns please do not hesitate to contact Lilly Lee, Associate Payroll Manager or myself.
Sincerely,
Allyson

The following message is from the Office of Digital Communications:
To the campus community:
As most of you are aware, significant intermittent website outages have been prevalent this semester. In working with IT and analyzing our options, we have concluded that the best way for the University to maintain a stable and effective web presence is to move the website to an external hosting provider.
We anticipate no downtime during this migration.
However, there will be a period of a few days, tentatively scheduled from Dec. 11 to Dec. 18, where site administrators will not be able to log in and make changes to the website. We’ll continue to provide updates as we get closer to the migration date.
If you have any questions or concerns, please feel free to contact me.
Sincerely,
Shelley Keith
Director of Digital Communications

The University of Mary Washington will open its Veteran Resource Center on Monday, December 1 to serve more than 400 veteran, active duty and veteran-affiliated students at the institution.
The center, which will be located in the basement of Combs Hall, will provide a central campus meeting space for veterans to get assistance. It will also offer office space for the Veteran’s Administration work study students who will be responsible for office management.
“Our veteran community is very important to UMW,” said Douglas Searcy, vice president of student affairs. “We want to ensure that we provide support and service at the highest level.”
Services for students will include providing information on using Veteran’s Administration and Department of Defense benefits here at UMW, helping students locate the appropriate office to answer specific questions, collecting data on UMW veteran student numbers and concerns and providing peer-to-peer counseling and general support.
The space was a collaboration of the several organizations within the university, including the Veterans Working Group and the Association of Student Veterans, who identified the need and provided recommendations on requirements.
The Veteran’s Administration work study students will begin office hours on Monday, January 12, the first day of classes for the spring semester.

The Help Desk will be closed during Thanksgiving Break, so here is one important tip that could save you a lot of trouble if you forget your password: set up your security questions so you can reset your UMW password yourself!
This past summer, we added a new service called self-service password reset. By setting up your security questions, if you forget your UMW password you can reset it by answering the questions instead of contacting Help Desk staff. You only need to set up your security questions once, so if you previously set up your security questions, you don’t need to do it again. If your have not, are unsure, or want to change your questions, here are the steps:
SETTING UP OR CHANGING YOUR SECURITY QUESTIONS:
Once you have your security questions set up, you can then use them to reset your password when needed:
RESETTING YOUR PASSWORD USING YOUR SECURITY QUESTIONS:
If you need assistance with this process, contact the Help Desk during our regular business hours:
Call us: 540-654-2255
Stop by: IT Convergence Center – Room 112
The Help Desk will operate the following hours this week:
Monday and Tuesday: 8 a.m. – 6:30 p.m.
Wednesday – Sunday: CLOSED for Thanksgiving Break – (a long time to be without access if you don’t set up your security questions!)
Regular hours resume on Monday, Dec. 1 at 8 a.m.
I wish you a safe and enjoyable break,

Julie Baxter, Paul Dresser Jr., BOV Rector Holly Tace Cuellar ’89, and President Richard Hurley unveil the new plaque for the President’s Box inside the Anderson Center.
UMW honored two members of the Mary Washington community during a dedication ceremony for the President’s Box held Nov. 15, 2014, at the Anderson Center. Paul A. Dresser Jr. and his wife Julie W. Baxter of Williamsburg, Virginia, were recognized for inspiring, supporting, and advancing UMW students and programs through service and giving.
Paul’s involvement with Mary Washington began in the early 1990s as the parent of an enrolled student. He served on the Mary Washington Board of Visitors from 1992 to 2000, including two years as Vice Rector and four years as Rector. He then served on the UMW Foundation Board of Directors from 2001 to 2014, leading as Chair of both the Audit Committee and the Investment Committee.
In addition to his dedicated work on the BOV and the UMW Foundation Board, Paul and his family are supporters of the Fund for Mary Washington, members of the UMW Heritage Society, and donors to multiple Dresser family scholarships.
In support of the Mary Washington First Campaign, Paul recently endowed the Julie Baxter Scholarship for BSN Completion and also specified the amount of his estate pledge to enhance endowment levels of other Dresser scholarships.
Amanda Dresser Gada ’95 and her family prepare for the dedication ceremony in honor of Paul Dresser and Julie Baxter.
More than 40 guests attended the ceremony at the Anderson Center, including Amanda Dresser Gada ’95, Director of UMW Athletics Ken Tyler, and representatives of UMW’s Board of Visitors, Foundation Board, and Alumni Board.
A dedication plaque bearing Paul and Julie’s names will be placed inside the President’s Box. Donors who make significant Campaign gifts to create and enhance UMW program or scholarship endowments may be eligible for future naming opportunities.
The $50-million Mary Washington First Campaign began July 1, 2011, and went public April 26, 2014. As of October 31, 2014, Mary Washington alumni, parents, friends, faculty, staff, and businesses have committed more than $32 million in gifts and pledges. The Campaign is scheduled to conclude June 30, 2016.

Congratulations to Sallie Washington Braxton, Associate Dean of Advising Services for the College of Business, who has been selected as the Excellent Eagle Employee for the month of December. A parking spot of her choosing has been reserved for her through the end of the month.
Here is what a coworker said about her:
Sallie came to the Fredericksburg campus (for the second time) in the fall of 2012 to serve as the professional advisor for ALL business students. She did an awesome job for two years and then, when Janet Cropp retired this summer and her position was frozen, we asked Sallie to take on advising the graduate students (and remaining BPS students) as well. Janet’s position was eliminated about two months ago and Sallie continues to advise ALL business students. Her workload is ridiculous, but as a team player, she has cheerfully and faithfully done a terrific job.
She is most deserving of being named an Excellent Eagle Employee.
To nominate someone who you believe is an Excellent Eagle Employee, send an email to Priscilla Sullivan (psulliva@umw.edu) with Excellent Eagle Employee in the subject line. In your email, be sure to list the person’s name, department, job title, work location (with the most convenient parking lot), and of course, the reason why you believe they should be recognized. Please spread the word to other employees about this wonderful opportunity to recognize a co-worker(s).
You may now also go to the Staff Advisory Council’s site and click on the Excellent Eagle tab to make a nomination: http://sac.umwblogs.org/excellent-eagle/.
