A New Year, A Refreshed Brand
After years of being the best kept secret in higher education, UMW followed the lead of peer institutions, launching its brand in the fall of 2011. Developed in collaboration with consultants who surveyed more than 2,700 stakeholders, the brand distilled Mary Washington’s key attributes into a brand positioning statement, brand promise, and brand personality traits. Starting with a blank slate, every word was vetted by Leadership Council, and the University of Mary Washington became the place where great minds get to work.
Two years later, we decided to take stock. Does every word of our brand still ring true? While we have evidence that the brand is resonating with external audiences, do members of the campus community embrace it? Would new members of Leadership Council endorse it?
Last fall, we provided numerous opportunities for faculty, staff, and other stakeholders to help us answer those questions. Once we drilled down, the overwhelming consensus was: “Hey, this really IS who we are.” Even so, after listening to many voices, Leadership Council decided to tweak certain parts of the platform. The key changes were insertion of these words/phrases: inclusive, passion, and socially conscious. Faculty and Staff Dining on Monday, Jan. 20
On Monday, Jan. 20 the Faculty and Staff Dining Room will be closed for the Martin Luther King Jr. holiday. All other campus dining services will operate according to their regular schedules.
Mindful Dining Features at Seacobeck
Campus Dining is supporting our campus wellness initiatives by featuring mindful menus for lunch every Thursday in the Faculty and Staff Dining Room at Seacobeck. Mindful recipes offer satisfying portions with fewer calories, less sodium, and enticing flavors by using more whole grains, fresh fruits and vegetables, and lots of spices and herbs.
Mindful dishes are also served throughout the week in all the dining rooms at Seacobeck. ENROLLMENT: New VRS Hybrid Retirement Plan
OPEN ENROLLMENT FOR EMPLOYEES WHO ARE ENROLLED IN The Virginia Retirement System
On Jan. 1, 2014, the Virginia Retirement System (VRS) introduced the new Hybrid retirement plan option. This plan combines features of a defined benefit plan, which pays a monthly retirement benefit based on age, total service credit and average final compensation, and a defined contribution plan, which provides a retirement benefit based on contributions and the investment performance of those contributions. Current VRS members will have the option of enrolling in this new retirement plan option between Jan. 1 – April 30, 2014, and the enrollment will take effect on July 1, 2014.
Please Note: Employees who are enrolled in VALORS (Police Officers) or Optional Retirement Plan with TIAA CREF or Fidelity are not eligible for the Hybrid Retirement Plan.
To help you better understand this new plan and your options, the Office of Benefits will be hosting an informational meeting on campus. Dates and locations to be announced in a separate mailing. Since the plan is very different from what has been offered in the past, we encourage you to review the information to help you make an informed decision regarding your retirement plan option. The Office of Benefits will be scheduling individual meetings after the campus wide informational sessions to provide you with personalized counseling and necessary tools to assist you with your decision making process.

Availability Notice To All Employees:
All University of Mary Washington employees including wage and adjunct faculty are eligible to enroll in the 457 Deferred Compensation Plan and/or the 403(b) Tax Deferred Savings Plan. All contributions are pre-tax deductions.
The Internal Revenue Service (IRS) has set the annual deferral contribution limit for employees who participate in the 457 and/or 403(b) to $17,500 for calendar year 2014. The catch-up contribution limit for those age 50 and over remains unchanged at $5,500. The Cash Match program remains the same- the cash match continues to be 50 percent of your contribution to one of the Plans, not to exceed $20 per pay date. Wage employees and adjunct faculty are not eligible to receive the cash match.
Full time salaried employees hired on or after Jan. 1, 2008 are enrolled automatically in the 457 Deferred Compensation Plan for a pre-tax deduction of $20 and a $10 contribution to the cash match plan unless they have an existing 457 account or opted out of participation in the plan. There are no automatic enrollments for the 403(b) Tax Deferred Savings Plan.
To enroll or change your current pay period deductions:
457 Deferred Compensation plan (ICMA-RC is our new plan administrator effective Jan. 1, 2014):
• Online: Go to http://www.varetirement.org/vrsaccountlogin.html (You will create or reset your account information)
• By phone: 1-VRS-DC-PLAN1(1-877-327-5261), option 1.
• Paper enrollment form only if you are unable to enroll using the above options. You may locate the form site above, complete it and send it directly to the provider.
403(b) Tax Deferred Savings Plan:
- Select and contact a vendor from the attached approved provider list. 403(b) Provider’s List
- Complete the Salary Reduction Agreement form (SRA): SRA Form. For initial enrollment, the SRA should be completed by you and the Financial Adviser/Agent of the selected Provider and returned to Office of Human Resources for processing.
- To receive the Cash Match on the 403(b) account, complete the Cash Match Agreement Form and forward to the Office of Human Resources for processing. Cash Match Form
Beneficiaries:
Are your beneficiaries up to date? Your beneficiary form should be updated after each personal milestone such as a change in marital status, the birth or adoption of a child or as your life events change.
To update/change your beneficiary for your life insurance benefit and VRS Retirement, submit a new Designation of Beneficiary (VRS-2 ) to Office of Human Resources as soon as possible for processing. If you don’t know who you designated, you may also submit a new VRS-2 to Office of Human Resources for processing.
To update/change your beneficiary for the 457 deferred compensation plan, complete the 457(b)/401(a) beneficiary form and mail to ICMA-RC.
To update your beneficiary with the Optional Retirement Plan or 403(b), please contact the Vendor directly.

NOW THAT WE ARE ALL BACK AND READY FOR THE NEW SEMESTER, January, the month of resolutions and fresh starts, is the ideal time to reenergize.
- Supervisors are asked to meet with their employees for mid-year performance check-in, coaching and support (A/P faculty document discussions on the annual work planning form).

- Managing Multiple Priorities at Work? This course is a communications development seminar in which participants learn: the skills to talk to anyone about anything, identify the uncomfortable issues and realities they face at work and at home, and learn how to confront such issues with tact, empathy and clarity.

EMS Scheduling Software Demonstration, Jan. 21
UMW Faculty and Staff:
On Tuesday, Jan. 21, the University will be hosting a demonstration of the Enterprise Management System (EMS) scheduling software in Lee Hall, Room 412. The demonstration sessions are open to all UMW faculty and staff and will be an opportunity for the University community to learn about the system as a potential new software to meet UMW’s scheduling needs. The schedule for the demonstration is as follows:
9 a.m. – noon General Session for all members of the UMW community
1-1:50 p.m. Advanced Aspects of Events Scheduling
2-2:50 p.m. Advanced Technical Aspects
3-3:50 p.m. Advanced Aspects of Academic Scheduling
4 p.m. Wrap-up
NOTE: The general session is intended for typical end-users (faculty, staff, students, administrators). The afternoon discussions are aimed at power users of the system and will NOT provide a general overview or be the place for generic questions.

Historic Preservation Students Showcase Talent in Rap Video
University of Mary Washington historic preservation students showed their knowledge of the National Register and their music skills in their recent “National Register Rap” on YouTube.
The video was a final project for Assistant Professor Andrea Livi Smith’s Historic Preservation 405 course in fall 2013, and features the talents of seniors Nathan Dawes, Sam Crystal, Kate Decco and Carol Vinitieri. Associate Professor and Chair of Historic Preservation Gary Stanton makes a cameo in the video.
The video has received more than 6,000 views on YouTube and numerous mentions on social media since the students posted it in December 2013.

2014 Group Fitness Classes Schedule
UMW Introduces New Policy
The On-Call and Call Back Compensation Policy (E.3.9.5.) was adopted Jan. 9, 2014. The policy will be effective Jan. 16, 2014. The purpose of the policy is to establish guidance for compensating employees who are scheduled to be on call and/or to return to work in response to emergency or essential work situations related to his or her official duties and responsibilities.
You will find the policy in Book E, Administration and Finance, under Section 3, Human Resources.
Mileage Rate Change
The personal vehicle mileage reimbursement rate has been changed to $.56/mile, effective Jan. 1, 2014. The rate for travel that took place prior to Jan. 1, 2014 is $.565/mile. When submitting your travel reimbursement, please be sure to use the form that correlates with your actual travel dates. Travel reimbursement forms may be found at http://adminfinance.umw.edu/ap/travel/travel-expense-reimbursement-form/.
Please remember to visit the Accounts Payable website to obtain the most current forms and rates related to travel, lodging and per diem. Other important information to remember:
- Lodging and Per Diem rates that went into effect for dates of travel Oct. 1, 2013, can be found on the Accounts Payable website at http://adminfinance.umw.edu/ap/travel/per-diem-and-lodging-rates/. Please note that the lodging rate for the Fredericksburg area was reduced to $85.
