COAR’s annual Pumpkin Palooza event is devoted to providing local children with a safe place to trick-or-treat on campus. We host games, crafts, trick or treating tours, and snacks for children who come to campus. The event will be on Sunday, Oct. 30, from 1 p.m. to 4 p.m. and is open to all staff, faculty and their families.
ORPHE Participants: Open Enrollment Session Oct. 11
October is Open Enrollment for ORP participants to change retirement providers. This year a new provider has been added to our current providers of TIAA and Fidelity. A meeting is being held on Tuesday, Oct. 11, at 11 a.m. in the HCC Digital Auditorium. During this meeting, you will learn of the new plan resources and options as well as hear a presentation from each provider. No reservation is needed. University Philharmonic Fall Program
The fall program for the University Philharmonic Orchestra will be exciting. The Orchestra will perform its Masterworks concert featuring Beethoven’s Eroica Symphony on Oct. 22. Then on Dec. 9 it will present Christmas with Tony Bennett. Tickets for the Masterworks concert are on sale now. Tickets for the Christmas with Tony Bennett show will be available to Friends of the Philharmonic starting Monday, Oct. 10, at 10 a.m. and to the general public starting on Oct. 24 at 10 a.m. For tickets or more information call 540/654-1324 or email philharmonic@umw.edu.
Reunion Weekend Presenters Wanted
Save the Date! Alumni from the classes ending in 2 and 7 will be celebrating their reunions June 2-4, 2017. As in previous years, Alumni Relations will be coordinating Alumni College during Reunion Weekend – a series of one-hour lectures from faculty on a variety of topics. Alumni College lectures are a highlight for reunion attendees. We invite all faculty to participate in the Alumni College program. FLSA Implementation Updates
Thank you for attending the FLSA @ UMW information sessions. Your participation and input has been invaluable to our understanding of how the new FLSA salary rule impacts work at UMW. The FLSA @ UMW Information Session presentation and FAQ’s have been updated to reflect implementation decisions to date.
Highlights and Key Reminders:
- There will be no salary adjustments to meet the new salary threshold. All classified and A/P faculty with salaries below the threshold, with the exception of those who teach, will become non-exempt effective November 10, Supervisors will work with employees to monitor work schedules and manage hours worked. A review of the impact of the new rule will be ongoing and will provide the basis of any additional steps to support university operations.
- Employees who become non-exempt due to the new salary threshold and their supervisors will receive an official email notice of this change.
- The university has adopted the use of overtime leave in addition to overtime pay. The overtime leave policy will be finalized and published prior to November 10, 2016.
- A/P faculty will begin to report leave in MyTime using quarter-hour increments effective November 10, 2016.
- The work schedule for all exempt classified and A/P faculty will change from a 40 hour work schedule to an 80 hour work schedule with the implementation of the new FLSA rule. November 14, 2016 will be the first day of the new two week schedule.
- The university continues to explore its policy requiring non-exempt employees to punch in and out of MyTime. Please expect to receive an update as soon as a final determination is made.
- TESS will be sending an email about MyTime training sessions shortly.

Disability Awareness Month Activities
October is Disability Awareness Month at UMW. The Office of Disability Resources, the James Farmer Multicultural Center, the Office of Career Services, the Fitness Center and Chris Foss’ FSEM have contributed to offerings for the month. Rio Wrap-Up
Dalton Herendeen, two-time Paralympian and assistant UMW swim coach, will present on his Rio Paralympic experience Oct. 12 at 8 p.m. in the HCC Digital Auditorium. Dalton is an engaging speaker with a wonderful story to tell. Come hear his perspective on disability and achievement.
Navigating Disabilities in the Workplace
Kevin Kozial from the disAbility Resource Center of the Rappahannock Inc. will present on disabilities in the workplace Oct. 27 at 4 p.m. in the UC Colonnade Room. Workplace accommodations and when to ask for them will be covered. Please join the UMW Office of Career Services for this important information.
Autistic Articulations from Frog & Toad to Andy Warhol
Focusing on autism, Chris Foss’ FSEM and the Office of Disability Resources present Dr. Julia Miele Rodas Oct. 29 at 1 and 2 p.m. in the UC Colonnade Room. Unusual expressive practices are a defining aspect of autism: ordering, collecting and arranging; repeating; speaking out in unexpected or interruptive bursts. This talk explores the ways in which such expressive patterns show up in literary settings and in respected visual art, proposing that autistic expression may be understood as aesthetic rather than as pathology.

Ongoing throughout the Month of October
James Farmer Multicultural Center Display: Beloved UMW Professor and civil rights activist Dr. James Farmer became an individual with a disability due to complications of a medical condition. He required someone to read to him or used a Kurzweil machine to aid in the reading of documents. Dr. Farmer’s Kurzweil machine was recently donated to UMW and is on display in the James Farmer Multicultural Center in the UC. Please take some time to stop by and see the display.
ASL Signs: American Sign Language is one method that individuals with hearing impairment used to communicate. During the month of October, information about various ASL signs will be running on EagleVision. Learn a few signs to help your interactions with individuals who are deaf or hard of hearing.
Famous People with Disabilities: Running on EagleVision for the month of October, information about famous individuals with disabilities and their contributions to society highlight the ability of individuals with disabilities. These individuals include Franklin Delano Roosevelt, Frida Kahlo, James Farmer, and Stephen Hawking.
The UMW Fitness Center: The UMW Fitness Center has made upgrades for accessibility. Please check out the facilities and have a representative show you what they have accomplished.

October is Open Enrollment for ORPHE Participants
October is Open Enrollment for participants in the ORPHE. This year participants can select from among three provider options during Open Enrollment to be effective January 1, 2017: DCP (recordkeeping by ICMA-RC), Fidelity Investments and TIAA. For information on the options available, you can visit the new VRS ORPHE website at orphe.varetire.org
An employee meeting will be held on Oct. 11 at 11 a.m.
To change providers during Open Enrollment, please review the Open Enrollment Notice, complete the Provider Change Form and the Enrollment and Beneficiary forms for the provider you have chosen (unless you already have an existing account with that provider under the Fidelity plan number 89755 or TIAA plan number 101850). Return these signed forms to the Human Resources office by the last business day in October, and your employer will forward them to VRS. Be sure the applicable Plan Number appears at the top of your enrollment form.
Please note that at each Open Enrollment meeting VRS will provide a brief overview of the ORPHE plan and both new and updated resources. Additionally, a representative for each provider will speak about specific services and investments available to ORPHE participants beginning January 1, 2017.

Employee Self-Assessment Process
Your supervisors have been asked to complete and return your annual evaluations to the Office of Human Resources by October 24, 2016. As part of this process, every classified employee has the opportunity to conduct a self-assessment and present it to his/her supervisor at least two weeks prior to the evaluation meeting. This allows you to provide your input concerning your performance and related matters for the performance period of October 24, 2015 – October 25, 2016.
A copy of the Evaluation Form that includes the Self-Assessment can be found at http://adminfinance.umw.edu/hr/files/2013/08/classified_performance_eval_2015.docx. Your supervisor may designate a different format for you to use when completing your self-assessment. Please check with your supervisor to discuss how and when he/she wishes to receive this information.
Factors to consider while completing your self-assessment:
- General accomplishments and obstacles during the performance cycle
- Achievement of the core responsibilities/measures of your position
- Implementation of the performance factors (interpersonal skills, communication, safety, attendance, etc.)
- Learning points from this cycle
- Desired goals and training for the new cycle
